Quaffee offers both Tracking and Servicing for companies to manage their coffee, and their coffee machines.

Coffee Machine Service Offering

We offer a service contract to allow you to always enjoy the best from your coffee machine.

Overview of Service

Want a fixed coffee budget? Quaffee specialises in supplying the corporate market with complete coffee solutions. Our corporate service manages your coffee and maintenance materials at a fixed monthly rate. This service enables you to budget for the full year including increased consumption during the winter months, keeping you fully stocked with the best available coffees.

If you are looking for a legal or accounting term for this type of contract it is called and Call-off contract. A call-off contract is a legally binding contract with a supplier (us, Quaffee) for the supply of products or services over a given time period subject to the prices, specifications and terms and conditions agreed. Delivery is to a delivery schedule built into the call-off contract.

Our offer includes the following:

• The amount of coffee you select to suite your requirement. Select from our speciality grade blends and single origin coffees.
• Cleaning materials as per below:
  • cappuccino frother cleaning liquid.
  • jura cleaning pills.
  • decalcification tablets.
• Regular full servicing of machine, as prescribed by the manufacturer.
• Ensuring that there is a swap out machine if you would like to send you machine for a service, or something goes wrong.
• A new grinder when it no longer performs as required (about every 30,000 cups)
• The full service option adds up to an hour of labour for maintenance, cleaning the frother or for in house training.

Only our specialty grade coffee is used, since we have based our cost calculations on using a high quality coffee beans fresh roasted. There are additional terms and conditions apply to the above.

Costings

Our service contract is based on the quantity of coffee you consume over a year, averaged over 12 months. As a guide from our experience while working with automatic coffee machines we have found that at least 1 kilogram of coffee beans a week. Using this we have designed the full service option around specific coffee use. We will send you a quote on request, since each client has their own unique needs. For a quote we consider the following: Type of coffee preferred, or range of coffees preferred. Labour requirements, namely what is the in house skill level and what is required by the client as far as servicing. The number of machines to be included in the contract, their current and longevity. If cappuccino is or is not a major priority. Swop out machine required. Any client specific options.

Coffee Usage Tracking

Quaffee tracks every one of their business users, unless they prefer not too. As we supply coffee to each client we take stock, then using dates, cup counts (if available) and quantity of coffee ordered, we first register what is supplied and then using previous stock levels and supply, we predict when a business will next need.

This means that as a business you can track you coffee usage see how much it is costing you per cup, is usage going up or down, and does it track you staff compliment. You can also determine if some of it disappearing out the back door?

Through our industry unique tracking and working with us, you will only have the finest specialty grade coffee roasted fresh to match your consumption. By fresh we mean that from roast to delivery is within 24 hrs for Cape Town clients.

What this means your business can ensure that they are receiving the finest quality coffees that have made the grade from the around the world.

 Some instant coffees now cost almost double fresh bean coffees so you may even see a drop in cost, but stll have an increase in quality. Now that is an offer worth considering.
